Investment fund management software: InvestCore

InvestCore is the management platform for investment funds and public investment companies built by KERN-IT. Every financing request comes in through the same door, moves step by step to the investment committee, arrives analysed from the NBB annual accounts and checked (beneficial owners, sanctions lists), then joins a portfolio management reads at a glance. Loans, guarantees and equity stakes live in the same tool, on the same company record. Paid monthly, all inclusive, with no upfront investment: that is our leasing model.

It is one of our business platforms: complete software products, designed, hosted and maintained by our team in Brussels. Built for regional investment companies and funds that finance SMEs, and that track their files today between a shared spreadsheet, an inbox and accounting software that was never designed for it.

InvestCore comes with an AI assistant: it summarises a file's documents, drafts a first version of the committee memo and answers your questions about the portfolio, citing its sources. It prepares, your analysts decide.

Investment fund management software: InvestCore

A fund's daily life, between spreadsheets and committees

A spreadsheet to track files
Who has which file, at which step, for how long: the information exists, scattered across a shared file, emails and the team's memory. The Monday meeting is mostly spent rebuilding it.

Balance sheets copied by hand
For every request, the analyst fetches the annual accounts, copies them into a template and recalculates the ratios. Hours per file on data that is public anyway.

A committee memo rewritten every time
The memo is rebuilt in a word processor from the analysis, the emails and the documents. Between the reviewed version and the voted one, someone has to know which one counts.

A portfolio reviewed once a year
A financed company's accounts deteriorate, a director changes, an instalment slips: you often learn it at annual report time, rarely on the day it happens.

Reporting that eats up days
Report to the oversight body, figures for the board, annual report: the same data is gathered by hand, from one file to another, at every deadline.

Checks redone file after file
Beneficial owners, sanctions lists, de minimis aggregation: every check is done by hand, documented in a separate file and done again for the next file.

From request to portfolio, one single thread

File tracking
Every request comes in through a portal, follows clear steps (eligibility, compliance, assessment, committee, closing) and stays visible to all. Delays that grow surface on their own.

Automatic analysis
A company number is enough: identity, directors, five years of NBB accounts, ratios and warning signs fill themselves in. The analyst spends their time on judgement.

Committee and decisions
Agenda, memo locked on the presented version, declarations of interest, vote, conditions to clear and minutes: every decision is traced and can be found years later.

Portfolio view
Outstanding amounts, equity stakes, guarantees, late payments, reporting from financed companies: management sees its portfolio at a glance, and weak signals surface before the annual report.

And everything that keeps the house running

Applicant portal and documents
The applicant submits the request and documents online, sees what is missing and follows progress. Every document is filed in its file, versioned and easy to find.

Know your customer
From the request onwards, InvestCore checks the company in the Crossroads Bank for Enterprises (CBE), collects its beneficial owners and screens them, with the directors, against European and Belgian sanctions lists. Identification runs on itsme. Every check is time-stamped and kept, and the portfolio is re-screened whenever the lists change.

Compliance and oversight
De minimis aggregation over a rolling three years, audit trail of every action, fine-grained rights per role, activity figures exported for the oversight body and the annual report.

Your accounting stays in place
InvestCore connects to your accounting software (Odoo or another): commitments and disbursements go out to it, payments received come back. Nobody re-keys anything.

Public fund governance, built in from the start

Conflicts of interest in committee
Before each item, committee members declare their interests. A recusal closes access to the vote and is recorded in the minutes. The Government commissioner follows the session with their own rights.

The management contract, measured
Leverage (private euros mobilised by each public euro), jobs created and maintained, bank and ERDF co-financing: the indicators of your management contract are calculated from the files, with no parallel spreadsheet.

State aid, documented
Every aid granted is recorded with its legal basis, date and amount. The de minimis total shows on the company record, and the data expected by the European state aid register is ready for export.

A look at the platform

A day with InvestCore looks like this. In the morning, the dashboard shows the files waiting for a document, those running late and what goes to the next committee. A new request comes in through the portal: the analyst types the company number, the record fills in with the NBB accounts and ratios, the compliance checks run on their own, and the AI assistant offers a first reading. On committee day, everyone votes on the same memo version, and the minutes take shape during the session. By evening, the portfolio has already flagged the company whose new accounts were just filed.

  • Open files, amounts committed and portfolio outstanding
  • Missing documents, overdue files, conditions to clear
  • The next committee, file by file, with the status of each memo

For those who are not in your offices

The financed companies' space. The managing director gets a link, fills in the quarterly reporting in a few minutes and uploads the interim accounts. They find their financing, upcoming instalments, signed documents and the name of their investment manager.

The fund receives structured figures, comparable from one quarter to the next, without copying a single PDF.

InvestCore: company space
InvestCore: committee on tablet

The committee on a tablet. Each member finds the agenda and the session documents, declares their interests before each item and votes from their tablet.

A recusal closes access to the vote. Every vote is recorded in the minutes with the time and the memo version.

AI prepares, the analyst decides

A public or private fund commits money on the strength of an analysis: the decision must stay human, reasoned and traceable. InvestCore's AI assistant works before and after that decision, on what takes time without calling for judgement.

Document summaries
Financial plan, site visit report, accounts, articles of association: the assistant reads the documents submitted and summarises them, with watch points and questions to ask the applicant.

First draft of the committee memo
From the analysis record and the proposed structure, it drafts a first version of the memo in the fund's template. The analyst corrects it, completes it and signs it.

Portfolio watch
New accounts filed with the NBB, a change of director published in the Belgian Official Gazette, late reporting: the assistant spots what moves at financed companies and flags it.

Questions in everyday language
“Which portfolio companies haven't sent their reporting?”, “What is our exposure to the food industry?”: the answer comes in seconds, with its sources.

Safeguards: the assistant works read only and cites every source. It takes no decision and sends nothing without approval. Your data stays hosted in Europe and is never used to train a model.

Spreadsheets, emails and Word memos or your digital core

Before

  • File tracking in a spreadsheet everyone fills in their own way
  • Annual accounts copied for every analysis
  • Several versions of the committee memo in circulation
  • The portfolio discovered at annual report time

After

  • A shared pipeline, up to date without a meeting
  • An analysis record filled in from the company number
  • A locked memo, voted and archived with its decision
  • Portfolio signals surfaced as they happen

What everyone gains

The analyst
No more balance sheets to copy or memos to start from scratch. Time goes to entrepreneurs and to judgement, where it adds value.

The committee
Complete files, a locked memo, documents on a tablet and a traced vote. It decides on the right version, and every decision can be found in seconds.

Management
The pipeline, the portfolio and the management contract indicators always up to date. The report to the oversight body is one export away.

The back office
Conditions tracked until cleared, disbursements prepared, exchanges with accounting automated. Fewer reminders, less re-keying.

Who is it for?

Public and regional investment companies
Loans, guarantees and equity on the same company, committees, Government commissioners, management contract and reporting to the oversight body: the platform speaks your language.

Seed and venture capital funds
Deal flow, due diligence, committee, tracking of equity stakes and board mandates, reporting to the fund's shareholders.

Business angels and family offices
Structured tracking of opportunities and holdings, without building a back-office team, with a portal for the companies you support.

What you are comparing

Spreadsheet and accounting software
Free on paper, costly in time: tracking relies on everyone's discipline, compliance is documented separately, and a file's history is rebuilt by hand. InvestCore keeps your accounting and replaces the rest.

International private equity software
Powerful but designed for Anglo-Saxon funds: they know nothing of the CBE, the NBB, de minimis, regional subordinated loans or public oversight. High licence fees, distant support, set-up left to consultants.

Full custom development
Tailored to you, but long and costly, since everything has to be built, including what already exists elsewhere. InvestCore starts from a base in production and only builds what is specific to you.

Designed and supported in Belgium by the KERN-IT team, hosted in Europe. A fund's files are among the most sensitive data a company holds: every access is limited to the right role, every action is written to the audit log, and exchanges are encrypted. Your data belongs to you: exportable at any time, guaranteed reversibility, GDPR by design.

Support is local too: you talk to the people who build the platform. An issue reported in the morning is often fixed the same day, and your change requests feed straight into the product roadmap.

Start without switching everything

A demo on your files
Give us one or two anonymised files: we show them to you in InvestCore, from submission to committee. You judge on your own reality rather than a generic demo.

A pilot on one product
Start with a single product, the loan for instance, for three months, alongside your current tools. You extend once the team is convinced.

Compatible with public procurement
You buy through public tenders? We respond to specifications, and the formula adapts to your rules: leasing, purchase or a mix of both.

How does it work? Made-to-measure software

Full custom development is costly and takes months, and off-the-shelf software does not speak the language of a Belgian investment company. Our business platforms are the middle way: a proven base, fitted exactly to your products and your governance.

1. A base already cut to shape
Files, portals, documents, workflow, committees, dashboards, AI assistant: the core relies on building blocks already in production on our other platforms, and you do not pay for their development.

2. Fitted to your products
Your instruments (loan, subordinated loan, guarantee, equity), your eligibility criteria, your decision thresholds, your memo template and your accounting: from configuration to custom-built modules.

3. Paid monthly, all inclusive
Hosting, backups, updates and support included. The monthly fee is set by two dials: the amount of customisation and the pace you want to move at. It includes a reserve of development days over the year, and a purchase option can be written into the contract, just like a real lease.

Frequently asked questions

Our business platforms are complete software products built and operated by KERN-IT, ready to use for a given sector. InvestCore for investment funds, CargoCore for transport, FacilityCore for facility management. You get a mature product without funding its development, and it stays customisable because we master all of its code. All platforms are presented on this page.

No, and that is deliberate. Your accounting software, Odoo or another, remains the reference for accounting. InvestCore handles everything before and after the accounting entry (request, analysis, committee, commitment, follow-up) and exchanges commitments, disbursements and payments received with it.

From Belgian public sources: the Crossroads Bank for Enterprises (CBE) for identity, directors and establishments, the National Bank of Belgium (NBB) for annual accounts, the Belgian Official Gazette for publications. They update on their own, and the analyst completes them with the documents submitted by the applicant.

The company and its directors are checked in the CBE and the Belgian Official Gazette. The applicant declares the beneficial owners and attaches the UBO register extract, which the analyst compares. Company, directors and beneficial owners are screened against European, Belgian and UN sanctions lists, and people identify themselves with itsme. Every check is time-stamped and kept; until it is approved, no disbursement is possible.

Yes. Every aid granted is recorded with its date and amount, and the total over a rolling three years shows on the company record, with an alert as the ceiling approaches. Exports for the oversight body and the European state aid register are generated from the platform.

Never. The assistant summarises, prepares and flags; your analysts and your committee decide. It works read only, cites its sources, and nothing goes out without human approval. Data stays hosted in Europe and is not used to train a model.

Yes, that is what we recommend. One product, one team, three months, alongside your current tools. Your portfolio is imported from day one, and you extend to the rest of the house once the pilot has convinced you.

Yes. We respond to the specifications of public bodies, and the formula adapts to your purchasing rules: monthly leasing, purchase of the platform or a mix of both.

InvestCore runs on an all-inclusive monthly subscription with no upfront investment: like a lease, the monthly fee covers full use of the platform, and a purchase option can be included. It depends on the amount of customisation, the pace you want to move at and the size of your portfolio, with a reserve of development days included over the year. We present a costed proposal during the demo.

On servers in Europe, in line with the GDPR. Daily backups, encrypted exchanges, audit log of every action. Dedicated hosting is possible for funds that require it.
